Administrative Conference Coordinator/Assistant

We are seeking an enthusiastic and detail-oriented individual to join our team as an Administrative Conference Coordinator/Assistant. This role plays a key part in providing essential administrative support to our conference department, contributing to the overall success of our events and the smooth operation of our association.

Responsilbilities:

  • Provide comprehensive administrative support to the Conference Manager and team.
  • Handle correspondence, emails, and phone inquiries related to conference logistics.
  • Handle the ordering of conference supplies.
  • Maintain accurate and organized records of conference-related documentation.
  • Assist in preparing reports, presentations, and other materials as needed.
  • Ensure all team members have necessary documents and information for conference-related tasks.
  • Support the coordination of logistical aspects for conferences.
  • Collaborate with team members to ensure seamless execution of logistical plans.
  • Aid in the creation and distribution of conference-related communications.
  • Respond promptly and professionally to inquiries from internal and external stakeholders.
  • Input and maintain accurate data in registration and CRM systems.
  • Generate and update reports to track participant details, payments, and other relevant data.
  • Assist in post-event data analysis and reporting.
  • Some travel required.

Qualifications:

  • College diploma required; additional education or certifications in administrative support is a plus.
  • Proven experience in providing administrative support, preferably in a team setting.
  • Strong organizational skills and ability to manage multiple tasks with attention to detail.
  • Proficient in Microsoft Office Suite; experience with database systems is an advantage.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively within a team and adapt to changing priorities.
  • Must be local to Northern Virginia with three days in office per week.
